At Flovmo, we understand the importance of securing your agency's lead base and client files. This Privacy Policy details how we compile, store, and safeguard data when utilizing our dashboard, web proposal signatures, and third-party accounting modules.

1. Information We Collect

We collect information to support your pipeline operations and invoice synchronization:

  • Agency Details: User login credentials, email addresses, billing configuration values, and seat settings.
  • Customer Lead Data: Names, contact details, travel budgets, destination preferences, check-in dates, room types, and meal selections.
  • Client Signatures: Encrypted image strings of client drawings captured on digital signature pads upon quote approvals.

2. Third-Party Integrations (OAuth Tokens)

Flovmo syncs with accounting suites (Xero, QuickBooks Online, Zoho Books) using secure OAuth 2.0 protocols:

  • We only store encrypted authentication refresh tokens. We never store credit card records, bank balances, or full accounting sheets inside our local databases.
  • Access tokens are used solely to transmit transaction totals and invoice documents created within your sales pipeline.

3. Data Storage & Security Measures

We deploy standard security frameworks to protect your databases:

  • All user passwords are encrypted using secure hashing hashes.
  • Communications between web lead webhook endpoints and the database utilize HTTPS SSL encryption protocols.
  • We conduct regular daily database backups to prevent data loss.

4. Data Purging & Retention

You have full autonomy over data deletion:

  • Leads can be soft-deleted (archived) to clear active board lists while preserving revenue graphs.
  • When you request a lead to be permanently deleted, all nested items (including corresponding quote proposals, signature records, and payment files) are wiped from the disk.

5. Your Rights & Choice

Business Administrators can download full CSV exports of active leads, update agency details, or disconnect OAuth accounting channels at any time inside the settings panels.
